Team Volunteers Information (updated 9/11/2024)

Every Region 9 team must have the following Team Volunteers before the children can play AND before uniforms will be distributed:
- A Team Coach
- 1 Assistant Coach
- 1 or more Team Referees (for U7, U8, U10, U12 & U14 teams only)
- 1 or more Team Managers (formerly known as a Team Mom or Team Parent)
- A Team Sponsor (or Sponsors). The cost is $100 per Team, not per sponsor. Coaches: Please complete the Team Sponsorship Form and bring it with you when you pick up your uniform
- 2 to 5 Team Volunteers (excluding U16 & U19 teams). Team Volunteers are used to help out as field monitors, field crew, etc. and generally only need to work a 2-hr shift EACH per season.
The Team Manager or Team Coach should fill out the information in the AYSO Region 9 Team Volunteers form. See detailed instructions below.
The Region 9 Team Volunteers form is not the same as AYSO’s Volunteer Application! Every AYSO volunteer must complete an online Volunteer Application each year via the Sports Connect website (the same website you used to register your child).
General Instructions:
- Fields marked with a red star (*) are required fields; you cannot submit this form unless they are filled in.
- Please use Full Names (First and Last names). For 6U teams only (team referee is not required): for Referee1 use name = 6U Ref, with the coach's phone # and email
- Include the Area Code with Phone Numbers.
- Region 9 T-shirts are provided for each Team’s Coach, Assistant Coach and Team Manager, so shirt sizes are needed. New Referees get their uniform (jersey, shorts, socks) after they have completed their training.
- 6U Teams do NOT need to fill in Referee information.
- If you have more than 3 volunteers for a position, please put the additional information in the Comments/Notes box at the bottom of the form, including the position.
- When you are sure your information is correct and complete, click on the button at the bottom of the form.
- After submitting this form you will see a Confirmation Page listing all the information you submitted. Use the Print function of your browser to print out one (1) copy of this page for your records. If you forget to do this, not to worry … we will have all your information on our computer and at uniform distribution.
Coaches: Please also complete the Team Sponsorship Form and bring it with you when you pick up your uniforms.
If you are not yet registered as an AYSO Volunteer, please complete and electronically sign your online application using the Sports Connect Login link from the Region 9 Home page.

If the coach’s name, date received, and time received show up in this list then we have received the completed Team Volunteer information. Please note that this web page is updated manually, so you will not see your team’s information immediately after you submit the form.
2024 Team Volunteer Program
To Make sure your team gets credit, follow these steps:
1. Check in at the Information Booth(brown building) next to the Shack Shack before your scheduled shift.
2. Find your Team number(06UB01 to 14UG02) on the sign in sheet for the scheduled time slot.
3. Print your first and last name clearly next to your team number to make sure your team gets credit.
If your name is already listed next to your team number, just initial next to your name.
4. Get information for your assigned duty, put on a volunteer sticker, and complete the full 2 hour shift.
5. Return anything back to the information booth, no need to sign out.
Weekend Games Cancelation due to: extreme heat, fires, rain, etc.
If the weekend is canceled and not played, the following will happen.
Week 1 for 2024 season, Team Volunteer shifts will be counted and Team Volunteer points will be updated.
If the last weekend is not played and not rescheduled, then volunteer shifts will be counted to complete
each teams volunteer points. Any Scheduled make up shifts on the last week would also be counted.
Any teams that needed to make up a shift but was not rescheduled, will not get credit for the missed shift.

Early Morning: 7 a.m. to 9 a.m.
Morning: 9 a.m. to 11 a.m.
Mid Morning: 10 a.m. to 12 p.m.(12U and 14U 8 a.m. games only)

By Week/Sign In Sheet:
Team Managers or Coaches can type in their Team Volunteer names in the weekly sign in sheets to make it easier to find their names when checking in for their shift. Please have
their names in by each Thursday, the weekly sign in sheets will be printed on that Friday.
Make-Up Shifts
6U to 8U and 14U are allowed to make up shifts from week 2 to week 10 to meet their shift requirements.
10U and 12U are allowed to make up shifts from week 2 to week 7 to meet their shift requirements.
If your team was unable to make their scheduled shift on week 7 only, they are allowed to make it up on week 8 or the next week if there are game cancelations to qualify for regional playoffs.
If your team did not complete a shift that was scheduled and now it has past for weekends that have
been played, follow these steps to reschedule your team's shift.
1. You will need to email: [email protected]
2. Put in the subject: shift reschedule request
3. List Team Number(06UB01 to 14UG02), list Head Coach first and last name, Date you are requesting,
and 2 hour shift time(7am to 9am, 9am to 11am, 11am to 1pm, or 1pm to 3pm).
Example:
Team Number: 10UB20
Head Coach: John Smith
Date Requesting: 12/31/2024
Shift Time: 11am to 1 pm
Your shift duty will be assigned to what is needed that day and time.
If you are not getting emails from Region 9, you may have opt out when you originally registered your account and it can not be changed. Please check with the coach or another parent.
For Make-Up volunteer shifts only, a separate sheet will be used at the Information Booth.
Make-Up Shift/Sign In
Competitive Teams
Teams will not be eligible for trophies or for acceptance into Area playoffs if their referee points and volunteer hours have not been met at the end of the season.
Non-competitive Teams
Teams will not receive participation awards if their volunteer hours have not been met at the end of the season.
Overview: Points
A team receives one (1) point for every volunteer that shows up and works an entire two-hour shift. No one under the age of 16 will be allowed to volunteer.
Competitive Teams (U10-U14)
Each team can receive a total of three to five (3-5) volunteer points depending on the division when they fulfill their required team volunteer shifts by the end of the season. You will be assigned your team volunteer shifts (hopefully by the Team Managers meeting, otherwise it will be emailed to ALL Coaches and Team Managers before the season starts.) If you do not show up for an assigned shift, your team will not receive their points. Therefore, your team may not be eligible for playoffs.
U10 division will have a requirement of 3 volunteer points to be eligible for playoffs
U12 division will have a requirement of 4 volunteer points to be eligible for playoffs
U14 division will have a requirement of 5 volunteer points to be eligible for playoffs
Non-Competitive (U6-U8)
Each team can receive a total of two (2) team volunteer points when they fulfill their required team volunteer shifts by the end of the season. You will be assigned your volunteer shifts (hopefully by the Team Managers meeting, otherwise it will be emailed to ALL Coaches and Team Managers before the season starts.) If you do not show up for an assigned shift, your team will not receive their points. Therefore, your teams will not be eligible to receive participation awards.
Team Volunteer Duties
Opening Shift:
Field set up (flags, nets, U6 goals moved to positions, U5 set up), referee booth set up, trash cans, etc.
Mid Shift:
Team Volunteer responsibilities can include: snack shack, float/information booth, parking lot monitors, and field patrol. When you check in at the information booth, we will assign the team volunteers where they are most needed. Everyone that signs up will NOT be assigned to the snack shack.
Closing Shift:
Field break down (flags, nets, U6 goals put away), referee booth break down, trash cans, clean up fields, etc.
Overview:
Field Monitoring
Each home team is required to send one volunteer to the information booth 15 minutes before game time to pick up a vest, radio, and instructions. They will be asked to stay in a fixed spot, so that the Referee can find them and get the required assistance.
All field monitors must be able to communicate clearly on the radios in case of emergency.
When the game is over they will return the radios and vests to the information booth.
